The BPO reality: client requirements shift by the week, audits eat up months of manual retrieval, and margins get thinner every time a competitor undercuts you on price. Labour arbitrage is no longer enough to win and keep business.
It's not just competitors you need to keep up with. Client expectations for speed, accuracy and transparency keep climbing. So you need to meet these requirements as well.
Many of the systems used to run BPO operations are still built around paper trails, spreadsheets and rigid legacy platforms, making it harder for BPO leaders to deal with scenarios such as:
- Rising document volumes and increasingly complex, fast-changing client requirements - Clients who need proof, not promises, that a process is being managed accurately and transparently - Disconnected systems that leave gaps between intake, processing and reporting - Ever-increasing audit and compliance demands - Margins under pressure, as low-cost labour alone no longer wins or keeps business - Growing pressure to introduce AI, without a foundation stable enough to support it
The BPO market is projected to grow from $245.9 billion in 2022 to $544.8 billion by 2032. But that growth won't be shared equally: providers who don't automate risk being squeezed on price by faster, more accurate rivals, or displaced altogether as the market consolidates.
All the challenges above can be solved by automating processes using a low-code process automation platform, so you can prove you're faster, more accurate and more transparent than the alternative, not just cheaper.
- Stronger client trust: When clients can see exactly where a document or case stands at every stage, doubt about whether you can manage a complex, digital-first process disappears.
- Faster turnaround: Reducing the time between a document arriving and a case being resolved keeps clients happy and protects your SLAs.
- Greater compliance: Full visibility of every document and every step in a process makes it far easier to prove compliance to regulators and clients alike, minimizing the risk of disputes or penalties.
- Informed decision-making: Organizing unstructured data from documents gives you data that can be used elsewhere in the business, including in AI.
- Enhanced agility: The ability to change a process quickly, without a lengthy and costly redevelopment, keeps you responsive as client requirements inevitably evolve.
Using low-code technology to automate tasks across intake, processing and reporting helps BPO providers improve efficiency and resilience while tackling internal and external pressures. By orchestrating people, systems and processes across the document lifecycle, you open the door to a variety of benefits:
- Increased visibility: Automating intake and workflow gives you real-time insight into where every document is and what state it's in. This isn’t possible when manually handling thousands of documents a day across multiple workflows.
- Better connections: Process automation connects the systems, teams and clients you already have, rather than having to rip and replace. That means fewer silos and fewer handover points where documents or information can get lost.
- Fewer errors: Rules-based validation catches inconsistencies, such as a document that hasn't been signed, or figures that don't add up, before they reach a client, reducing the risk of costly rework or disputes.
- Improved performance with analytics: Once your document data is structured and centralized, you can locate bottlenecks and any underperforming processes against their SLA. These insights aren’t possible when data is buried in paper files.
- Respond to change: Low-code apps are far easier to adapt than legacy platforms, letting you take on new client requirements, new document types or new regulations quickly, without a multi-year rebuild.
ADEA, a Spanish BPO provider, was struggling to maintain its relationship with one of its most important clients, BBVA bank, after a failed implementation on a rigid, inflexible platform. New CEO, Miguel Martínez Lozano, joined the company and realized the organization needed to undergo significant transformation.
"They didn't really know how deep the swimming pool was. All the requirements kept moving, and the solution they had wasn't flexible," says Martínez Lozano.
ADEA rebuilt the solution from scratch on the Bizagi platform, working with Bizagi's Professional Services team to run the project as a programme rather than a single implementation. The team reached go-live in just three months, even as BBVA's own requirements kept shifting throughout the rollout.
"The bank was changing the picture almost every week… I'm so grateful that Bizagi was able to adapt to this situation. I've never seen that before, and I've been in this sector for many years," Martínez Lozano explains.
The results speak for themselves: a 70% reduction in document management incidents, consistent SLA compliance, and a platform now being extended to roughly 15,000 branch employees across Spain, with expansion into Colombia underway.
Beyond the numbers, Martínez Lozano points to a bigger shift in what ADEA can now offer its clients: "The most important thing about Bizagi is that it has given us the opportunity to improve our value proposition as a company.”

AI only delivers value once layered onto processes that are already standardised and visible, not fragmented systems and manual workarounds. That's where GenAI assistants and AI Agents come in.
GenAI can extract and classify data from contracts, invoices and claims. AI Agents can triage inbound client requests, summarise long or unstructured documents, or flag incidents before they breach an SLA. Natural-language reporting lets non-technical staff and clients query process data directly, in plain language, without waiting on someone else to pull a report.

Every BPO operation handles a different mix of documents, clients and regulations, so the best way to close the gaps is with a platform flexible enough to fit your business, not the other way around. Find out more about orchestrating your BPO operations with Bizagi.
